PROFESSIONAL EDUCATION · CPD CERTIFICATES AND RECORDS

A certificate anyone can verify, and a record behind it.

Every completion can issue a branded certificate with a unique number and a public verification link. Give it an expiry and the reminders go out on their own. Behind each certificate sits a record per learner and per organisation, on screen and as CSV.

A 30-minute walkthrough shaped around your programme. No card, no commitment.

What is on the certificate.

Your logo, colours and footer text on a preset layout, or stamped onto your own PDF design.

Learner and course The learner's name, the course title and the completion date.
A unique certificate number Every certificate has its own number, printed on it and used on the verification page.
A verification link A public page confirms who the certificate was issued to, for which course, when, and until when it is valid.
Score and grade The exam score and the grade band where the course has an assessment. Each grade band can have its own certificate template.
Trainer name For live sessions, the trainer who ran the day.
CPD hours and statements Hours, participatory status or an accreditation statement go in the course title or the certificate footer text. There is no separate CPD-hours field today.

Expiry and renewal

Certificates that expire, and reminders that bring people back.

Give a course a validity period and every certificate carries a valid-until date. Reminders go to the learner at 90, 60, 30 and 0 days with their organisation manager copied, and each one links to the next date or the refresher module.

  • A validity period per course
  • Reminders at 90, 60, 30 and 0 days, with the manager copied
  • Refresher versions of a course for renewals
  • Renewals run as fresh attempts that keep the full history
How recertification works
The recertification board: counts of expired and soon-to-expire certificates, and each learner with a date to renew

Records

One record per learner, one view per organisation.

Every enrolment, attendance mark, exam attempt and certificate sits on one record per learner. Organisation managers see their own people. Reports cover completions, scores, attendance and expiry by learner, course and organisation, on screen and as CSV.

  • Exam unlocks, transfers and attendance kept as append-only records
  • Organisation managers see their own people only
  • Every report exports to CSV
  • Historic certificates imported with their original issue and expiry dates

What the regulators ask the learner for.

Hotline is not an accrediting body. Accreditation attaches to your content, through bodies such as the CPD Certification Service, BDA CPD Approval or RCN Accreditation, and you can show their mark on your course pages. The platform's job is the evidence.

NMC: nurses, midwives and nursing associates

35 hours of CPD over the three-year revalidation cycle, at least 20 of them participatory, with dated records of the method, topic, hours and evidence. A dated certificate, and an attendance record for a live session, are that evidence.

HCPC: dietitians and 14 other professions

A continuous, up-to-date record of a mixture of CPD activities, with a written profile on request. The HCPC sets no hours and approves no activities; it audits a random sample at each two-yearly renewal. Learners download each certificate from their own account.

Employers and auditors

The verification link lets an employer, an awarding body or an auditor confirm a certificate without an account: who it was issued to, for which course, when, and until when it is valid.

Where the CPD hours go

There is no dedicated CPD-hours field on the certificate. Put the hours and the format, "3 hours, participatory" for example, in the course title or the certificate footer text, and they print on every certificate for that course. Whether an activity counts towards a learner's CPD is for the learner and their regulator.
